How to Set Up Your Billing Rates Before You Send Your First Invoice
Getting your rates into your time tracker before work starts is the step most freelancers skip, and it costs them every single month.
Most freelancers set their rates in their head and figure they will sort out the paperwork later. Later never comes. By the time you send the first invoice, you are guessing at hours, rounding down because you feel guilty, and hoping the client does not ask questions.
Here is how to do it right before the work starts.
Decide on One Rate or Multiple Before You Open the App
Before you touch any software, answer one question: does this client get one flat rate, or do different task types bill at different amounts?
Some clients pay the same rate whether you are writing, doing strategy, or sitting on a call. Others have contracts where design work bills at one rate and revisions bill at another. Know which one you have before you set anything up.
If you skip this step, you end up with a single default rate applied to every task, and you will either overcharge or undercharge depending on what actually happened that week.
Create the Client in Your Tracker First

If the client has multiple rates, set up separate task categories now. Name them clearly. Something like "Strategy" and "Production" or "Design" and "Admin" works fine. Vague names like "Work" or "Misc" will haunt you in six weeks when you are trying to reconcile an invoice.
Set the Project Budget While You Are There
If you quoted a fixed number of hours or a maximum budget, enter it into the project now. Most freelancers skip this because they think they will remember. They do not.
Having a budget ceiling in your tracker means you get a warning before you blow past it. That warning is the difference between a profitable project and a conversation you dread having.
Test the Timer Before the First Real Session
Run the floating timer widget for five minutes on a test task. Check that it logs under the right client and the right rate. This sounds obvious but almost nobody does it.
If your first logged session goes to the wrong project or the wrong rate, you will catch it eventually, usually when the invoice looks wrong and the client is already waiting. Fix the setup before that happens.
Know What Your Minimum Increment Is
Decide before you start whether you bill in 6-minute increments, 15-minute increments, or by the hour. This should match whatever you put in your contract. Set it once, apply it consistently.
Freelancers who do not set this end up rounding differently every week depending on how generous they feel that day. That inconsistency quietly erodes your income over a year.
Build the Invoice Template Before You Need It
