How to Set Up Team Member Billing Rates Before Anyone Logs a Single Hour

When team members bill at different rates, the setup has to happen before work starts or your invoices will not add up.

Mixed Rates Break Everything If You Set Them Up Late

The moment you have more than one person logging time on a client project, you have a billing rate problem waiting to happen. A senior person and a junior person logging to the same project at the same rate is wrong. Different roles on the same project at blended rates are wrong too, just in a less obvious way.

The fix is not complicated. But it has to happen before the timer runs, not after you are trying to sort out an invoice.

Assign a Billing Rate to Each Team Member in Time-Trak

If you have a designer billing at ninety dollars an hour and a project manager billing at seventy, those numbers need to live in the system from day one. When both people log time, the invoice calculation pulls the right rate for each person automatically.

Do not set a flat project rate and try to sort it out later. Later does not work. You will not remember who did what at what rate, and neither will your time log.

Also Set an Internal Cost Rate If You Have Contractors

If any team members are contractors you pay by the hour and bill through to a client at a markup, set up both numbers. Your cost rate is what you pay them. Your billing rate is what the client sees.

Keep those separate in your project setup. This is how you track margin per person, not just per project. Over time, that data tells you which roles on your team are contributing to profit and which ones are compressing it.

Create Role-Based Task Labels to Match the Rates

Even if Time-Trak assigns rates by user, task labels help you verify the work matches the rate when you review before invoicing.

If a senior developer is logging hours under a task called `junior QA testing`, something is misaligned. Task labels act as a sanity check. They let you scan the time report quickly before you generate an invoice and catch anything that looks off.

Set up the labels before the project starts. Think about what each role will actually do. Build the label list from that, not from what seems convenient to add later.

Run a Test Report Before the First Real Hours Log

Before anyone on the team starts tracking, run a dummy report in Time-Trak. Add a few minutes of test time for each team member and pull the billing report.

Check that each person's hours are showing at the right rate. Check that the invoice total calculates correctly for mixed-rate entries. If something is wrong, fix it now. Fixing it after forty hours of real work are logged is painful and sometimes impossible to do cleanly.

Communicate the Setup to the Team Before They Start

Everyone logging time needs to know which project to log under, which task labels to use, and roughly what level of detail is expected in their notes.

Vague entries from team members are your problem at invoice time, not theirs. A note that says `worked on stuff` does not help you explain a three-hundred-dollar line item to a client.

Set the expectation clearly before the first timer runs. A short message in your team channel is enough. Something like: here is the project, here are the task labels, here is what a useful note looks like.
