How to Set Up a Weekly Time Review When You Work Alone

When nobody is checking your hours, the review has to come from you. Here is a repeatable process that takes less than 30 minutes.

When you work alone, there is no manager asking where the hours went. Nobody flags the gap between what you logged and what you billed. That accountability is yours. Most solo freelancers know this and still do not build the habit because they do not know what the habit is supposed to look like.

Here is a weekly review process that works. It takes 20 to 30 minutes. It runs on Friday morning before the week fully closes.

Step One: Pull Last Week's Hours Before You Open Anything Else

Before email. Before messages. Before you look at what is due today.

Open Time-Trak and pull a report for the past seven days. Total hours. Hours by client. Hours by project. Billable vs. non-billable breakdown.

Look at it before you do anything that might color how you interpret it. You want to see the raw picture of what last week actually was, not what you remember it being.

Step Two: Compare Hours Logged to Hours Billed

These two numbers should be close. If they are not, find out why.

Some gaps are legitimate. Work you did that was covered under a flat fee. Time you spent on overhead that you already account for in your rate. Goodwill extras you chose not to charge.

But some gaps are mistakes. Time you logged and forgot to add to an invoice. A client session that ran long and never made it into the billing period. A revision round you absorbed because you did not want a conversation.

Know the difference. Write it down. The distinction matters at invoice time.

Step Three: Check Your Screenshot Trail on Your Heaviest Work Days

On a week where you logged a lot of hours, spot-check a few days. Do the screenshots match what you remember working on? Is the time you logged actually connected to real work output? This is not about punishing yourself. It is about seeing clearly.

Step Four: Categorize Anything You Left Uncategorized

Every week has loose ends. Time logged to a generic project because you were moving fast. A task entry with no description. A block of time that just says the client name with no more detail than that.

Clean this up on Friday. Tag everything. Add a one-line description to any entry that lacks one. This takes five minutes and saves you significant confusion at month-end when you are trying to build an invoice and cannot remember what a three-hour block actually was.

Step Five: Set One Billing Action Before You Close

Every Friday review should end with one concrete billing action. Not a plan. An action.

That might be: send an invoice that is sitting in draft. Add unbilled time to an existing invoice. Create a new invoice for a project that just hit a milestone. Or confirm that everything is current and nothing is waiting.

One action. Done before Friday ends.

This is the step most solo freelancers skip because there is no external pressure to complete it. The invoice will go out eventually. But eventually compounds. A month of eventually is a cash flow problem.

Make the Review a Fixed Appointment

Put it on your calendar as a recurring Friday block. Treat it like a client meeting you cannot move. When something tries to book over it, say you are unavailable.

The review only works if it is consistent. One missed week is fine. Three missed weeks means your data is stale, your invoices are behind, and you are guessing again.
