How to Use Your Tracked Hours to Build the Case for Raising Your Rate

Your own time data is the strongest argument for a rate increase. Here is how to read it and use it before your next client renewal.

Most freelancers raise their rates based on a feeling. They have been at the same number for a while. Inflation is real. Someone told them they are undercharging. Those reasons are not wrong, but they are thin. A client who pushes back will win that conversation every time. The argument that does not get pushed back on is built from your own data.

Here is how to pull that data from Time-Trak and turn it into a rate conversation you can actually hold.

Start With Effective Hourly Rate, Not Billed Rate

Your billed rate is what you charge per hour. Your effective rate is what you actually earned per hour when you count all the time you put into the client relationship. Pull a report in Time-Trak for the last three to six months for the client you are considering raising rates on. Include every task type, including communication, reporting, revision rounds, and admin.

Divide total billed by total hours logged. That is your real rate. For most freelancers it is lower than what they think they charge. Sometimes significantly lower.

Identify Where the Unpaid Hours Are Going

Look at the task breakdown. Which categories are eating time you are not billing for? Revision rounds that exceeded the original scope? Client calls that ran long and never got logged? Onboarding time at the start of a project that you absorbed as a goodwill gesture?

Quantify those hours specifically. If you spent twelve hours on communication this quarter and billed none of it, that is real money you absorbed. That number belongs in your rate review conversation, at least internally, so you understand what you are working with.

Look at Complexity Over Time

Scroll back through your time log for this client and look at how the work has changed. If you started doing simple tasks and now you are handling more complex, higher-stakes deliverables at the same rate, that is a meaningful shift. The work visible in sessions from twelve months ago should look different from today if the role has grown.

Calculate What the Rate Should Be

Take your effective hourly rate and the gap you found. Add what you need to close that gap. Then layer in your cost of living change, any new tools or skills you have added, and the market rate for the level of work you are now doing. That gives you a number grounded in something real, not a guess.

If the number feels uncomfortable to say out loud, that is usually a sign it is closer to correct than your current rate is.

Build a Short Summary for the Conversation

You do not need to show your client your full time report. But you should be able to say something like: over the past six months, the scope of our work has expanded, the deliverables have become more complex, and I have put in more time than my current rate reflects. My updated rate going forward is X. That sentence is backed by data even if you never share the data directly.

If the client asks questions, you can answer them specifically because you did the work to look at your own logs. That confidence is different from someone who is just quoting a number they picked.
