How to Do a Ten-Minute Billing Check Every Friday Before You Log Off

A short Friday review catches unbilled hours, missing entries, and rate errors before they become a month-end problem.

The billing mistakes that cost freelancers money are almost never big dramatic errors. They are small omissions that compound. A session you logged but never marked billable. A task you forgot to assign to a project. A rate that never got updated when the scope changed.

None of these take long to catch if you look weekly. They take forever to untangle if you look monthly.

Here is a simple Friday check that takes ten minutes and keeps your billing clean.

Step One: Open Your Current Week in Time-Trak

Filter your time log to the current week. Every entry from Monday through Friday should be visible.

Scan for anything that looks wrong. Entries with no project assigned. Entries marked as non-billable that should be billable. Task descriptions that are too vague to appear on an invoice without editing.

Fix these now while the work is still fresh. Trying to remember what a vague entry meant three weeks later is a genuinely unpleasant experience.

Step Two: Check for Sessions You Did Not Log

Think through your week. Client calls. Unexpected email threads that ran long. Revisions you squeezed in. Research that felt like part of the work but never got a timer started.

Step Four: Flag Anything Ready to Invoice

For any completed work that has not been invoiced yet, mark it or make a note. Especially for clients where you bill on completion rather than a set schedule.

The gap between finishing work and sending an invoice is where unbilled hours go to die. You move to the next thing. The invoice feels awkward to send after time has passed. Eventually you just let it go.

A Friday check interrupts that pattern. If something is done and not invoiced, it gets flagged. That flag is what turns into an invoice on Monday instead of a write-off three months from now.

Step Five: Check Your Screenshot Record for Any Disputed-Risk Work
